Running a membership isn’t just about content, community, and connection. At the end of the day, your membership lives and dies by one thing: payments actually going through.
And yet … failed payments are one of the sneakiest leaks I see in almost every membership.
It’s not dramatic like mass cancellations, nor loud like angry support emails. It’s quiet — like a tiny drip in the basement you don’t notice until there’s mold in the walls.
A few expired cards here. A blocked bank charge there. A handful of members happily enjoying everything you’ve built … without actually paying for it.
I get it. Payment tracking isn’t glamorous so it’s definitely not at the forefront of your mind. You should try writing a blog post about it. 😉
Let’s talk about how failed payments drain your membership, what most people get wrong, and how to set up payment tracking systems that protect your revenue (without you turning into a full-time bill collector).

What it will do? Leave you feeling resentful. Because nothing feels worse than knowing someone is getting your best work while your Stripe balance looks suspiciously light.
I once had a client discover dozens of failed payments that she had no idea about. Talk about a huge pit in the stomach. We had to dig through months of data, backtrack every failed payment, and awkwardly email members to update their cards (or boot ‘em from the membership).
Another time, I logged into a client’s PayPal and noticed a ton of canceled subscriptions. She didn’t realize it because the emails from PayPal were getting filtered into a separate folder in her inbox.
Payments aren’t just admin work. They are your business. If money is slipping through the cracks, so is your stability.
There are a couple of reasons why my clients have overlooked payment tracking.

The way most memberships handle payments is reactive at best.
You’re constantly in catch-up mode, which means unpredictable revenue and utter exhaustion because you feel like you can’t grow when you’re stuck following up with everything.

You don’t need to turn into a finance department. You just need systems. Quiet little safety nets that run in the background so you know money isn’t slipping away. 💸
Here’s what I set up for clients:
Automated Recovery Emails
Polite but firm nudges that go out automatically when a payment fails.
Example: “Hey, your card didn’t go through — it happens! Click here to update so you don’t lose access.”
→ Pro tip: always include a direct link to update payment info so people don’t have to go digging.
Retry Settings
Most platforms let you set how many times to retry a failed payment before access is revoked. This means you’re not shutting people out because of a one-time blip.
I’ve had clients who allowed 3 failed payments, 4 failed payments. It really depends on what you want to do. Three within a week is my general recommendation.
Member Tracker (Airtable is my fave)
Stripe might tell you who failed, but a tracker gives you a bigger picture.
That way you know exactly when to step in, and you’re not blindsided. My #1 tip is to use a system that works for you: Airtable, Google Sheets, Trello, Asana.
Some of this can be automated, but I highly recommend doing payment tracking manually. It’s too easy to miss things when it’s entirely automated (but don’t worry, it doesn’t have to take forever to track).
Integrations that Do the Work
A simple Zapier workflow can turn “payment failed in Stripe” into:
Now, instead of chasing, your system does it for you. Many membership platforms will also talk to Stripe (or whatever payment processor you’re using) and it’ll remove them from the membership if they failed X amount of times (that is usually set up in your payment processor).
